Two-column accounting worksheets and a calculator arranged for checking totals

How to read the result

The tool adds up the debit and credit columns and shows the difference. A difference of zero means the trial balance agrees. If there is a difference, use the hints. A difference divisible by 9 suggests a transposition. A difference exactly double a figure suggests an entry on the wrong side.

What the trial balance proves

A trial balance lists every ledger balance in a debit column and a credit column and checks that the two totals agree. Double entry records every transaction with an equal debit and credit, so the totals should match. When they do, the arithmetic of your postings is probably sound. It is a quick self-check before you build the financial statements, which is why examiners set it so often.

Just as important is what it does not prove. The totals can agree and still hide errors. These include a transaction left out entirely, an amount posted to the wrong account of the right type, or two opposite mistakes that cancel out. A balanced trial balance means debits equal credits, not that every entry is correct.

When it does not agree, the difference goes into a suspense account until the one-sided error behind it is found.

Using the size of the difference

If the checker shows a difference, do not force the figures to agree. The size of the gap is a clue. A difference divisible by nine often means two digits were swapped. A round number may be a missing balance. Exactly double a figure usually means an entry on the wrong side.

If you have searched and still cannot find it, send us your figures on WhatsApp. One of our teachers can trace it with you line by line in a trial class, so a stubborn difference becomes a lesson you remember. Book a trial class.

Frequently asked questions

What does it mean if my trial balance does not balance?

The two columns should be equal. A difference means an error somewhere. A balanced trial balance does not prove the books are error-free, because some errors do not affect the balance.

My difference is divisible by 9, what does that suggest?

A difference exactly divisible by 9 often points to a transposition error (digits swapped, e.g. 54 written as 45).

The difference is an even number, any clue?

If the difference divides evenly by 2, an entry may have been posted to the wrong side. Look for an amount equal to half the difference.
