Statement of affairs

A rough statement of assets and liabilities, used to estimate capital when proper records are missing.

What it means

A listing of assets and liabilities at a point in time used to derive capital where full double-entry records do not exist.

Example

Assets of RM50,000 less liabilities of RM12,000 give an opening capital of RM38,000.

Why it matters

It lets profit be found from the change in capital when there are incomplete records.

In practice

A statement of affairs is drawn up when a trader keeps no proper ledgers, so there is no capital account to read. It lists estimated assets, then subtracts estimated liabilities. The balancing figure is the owner's capital: assets minus liabilities equals capital.

Prepare one at the start of the year and another at the end. If closing capital is RM52,000 and opening capital was RM40,000, capital has grown by RM12,000. Adjust that change for any capital introduced and drawings taken, and you arrive at the profit for the year without a full income statement.

It looks like a statement of financial position but serves a different purpose. A statement of financial position comes from complete double-entry records and reports a known position. A statement of affairs estimates figures because the records are incomplete. It is a working tool for finding capital and profit, not a formal statement for outsiders.
